Administrator & Documents Controller – Property Maintenance
Reporting To - Property & Facilities Manager
Hours of Work - 34.5 hrs (Mon – Thurs 08:00 – 16:00 and Fri 08:00 - 15:30 with 1 hour lunch break each day)

Key Responsibilities
- Processing quotes, delivery notes and invoices for property maintenance activities ensuring that they are coded correctly
- Ensuring property maintenance operatives have recorded their work accurately
- Liaising with and maintaining strong relationships with new and existing suppliers and subcontractors
- Keeping records of all property maintenance activities for all WHM properties
- Ensuring that all routine statutory property maintenance tasks are scheduled in advance to remain compliant at all sites
- Be part of the team that develops new systems and processes that will allow for accurate record keeping and more detailed reporting for senior management as well as more efficient working practices
Qualifications/Skills required
- Excellent interpersonal and communication skills
- Experience using Microsoft Office packages such as Word and Excel
- Experience in an administrative/office management role
- Ability to effectively communicate both verbally and written
- Strong organisational and multitasking skills, with the ability to manage paperwork, records and schedules
- Computer and IT literate
- Full UK driving licence preferred
Training for the role will be provided however the following experience would be desirable:
- Experience within the facilities management or construction sectors
- Knowledge of Health & Safety regulations
- KPI reporting
